Privacy Policy

Pilotier takes privacy seriously. We operate as a managed service with access to your inbox — that means we hold ourselves to a high standard of transparency about what we collect, how we use it, and how we protect it.

1. What we collect

We collect the information you provide when you sign up: your name, email address, and company name. We also collect access credentials for the tools you connect (Gmail, Outlook, Slack, calendar). These credentials are stored securely and in complete isolation from other clients.

2. How we use your data

We use your data exclusively to provide the Pilotier service. This means organizing your inbox, generating draft responses, building your follow-up queue, and preparing your morning brief. We do not use your email content to train AI models. We do not sell your data. We do not share your data with third parties except where required to operate the service.

3. Credential security

Each client's credentials are stored in a completely separate, isolated environment. Your Gmail, Outlook, or Slack credentials are never shared with other clients or used for any purpose other than operating your Pilotier service.

4. Data retention

We retain your data for as long as you are an active client. When you cancel, we delete your credentials and data within 30 days. We do not retain email content after processing. Draft responses are stored temporarily until you review and act on them.

5. Your rights

You have the right to access the data we hold about you, request corrections, and request deletion. To exercise these rights, contact us at hello@pilotier.com. We will respond within 5 business days.

6. Third-party services

Pilotier uses AI providers to process email content and generate draft responses. This processing is governed by the AI provider's data processing agreements. We select providers that offer enterprise-grade data protection and do not use customer data for model training.

7. Changes to this policy

We may update this policy from time to time. We will notify active clients of material changes via email at least 14 days before they take effect.
